SPCS Administrative Assistant

Position Overview

The SPCS Administrative  Assistant role will support the Stanford Pre-Collegiate Studies summer enrichment programs, which include Stanford Pre-Collegiate Summer Institutes, Stanford Summer Humanities Institutes, Stanford University Mathematics Camp, and Stanford Middle School Scholars Program. Our programs are designed to give students an immersive educational experience, emphasizing interactive education and deep engagement.

Position Responsibilities:

  • Serve as customer service lead by managing Salesforce inbox and shared program email accounts, supporting external communications, ensuring all inquiries are responded to in a timely manner.  Respond to routine participant or parent/legal guardian inquiries, take appropriate action as required, and escalate customer service concerns as necessary.
  • Lead and manage small projects by establishing and executing project plans, timelines, tasks, and objectives.
  • Monitor online program participant absences and communicating with team members, parents/legal guardians regarding absences via email, accessing student records as needed.
  • Manage shared program inboxes,  reviewing and approving emails, and providing regular communication with parents and families as needed in accordance with Stanford Online High School and Stanford Pre-Collegiate Studies’ established messaging.
  • Perform routine administrative tasks, such as:
    • Upload materials and announcements to Canvas & Google Classroom
    • Monitor Slack and Pronto channels
    • Update slide decks using Google slides
    • Update spreadsheets using Google Sheets
    • Submit Internal forms to support program logistics
  • Provide administrative and student support to ensure scholar success in the fall Middle School Scholars session by tracking their progress.
  • Serve as support and back-up in contingent staff training, online participant orientations, student life events, and commencements by monitoring the chat function, and upholding the participant code of conduct in the online learning environment. This includes responding to questions in chat, removing participants or disabling Zoom when necessary.
  • Providing support for scheduling substitutes, as well as serving as a substitute when necessary for online course assistants.
  • Support processing and disseminating through email participant evaluations and course completion certificates for summer programs.
  • Regularly check-in via Slack and email with your primary supervisor, attend weekly team meetings, and attend a regular 1:1 meeting with the primary supervisor.
  • Other duties as assigned.

To be successful in this position, you will bring:

  • A Bachelor's Degree
  • Strong communication skills, ability to work independently and remotely
  • Experience with relevant technologies, i.e. video conferencing platforms such as Zoom and Canvas
  • Must be able to handle confidential information with discretion and professionalism
  • A computer and a reliable internet connection to effectively perform job responsibilities in this remote role

Additionally, you will preferably bring:

  • At least one summer or year working with Stanford Pre-Collegiate Studies online programs or another pre-college program

Compensation & Other Important Details:

The compensation for the SPCS Administrative Assistant position is $26.00 - $28.00 per hour depending on region, qualifications, and experience. Hourly pay is taxable income. This is a temporary, non-exempt, part-time, seasonal online position up to 19 hours per week from early June to early September, with the possibility of extending into the fall depending on program needs and candidate availability. Overtime is subject pursuant to state and federal wage and hour laws. You must be located within the United States for the duration of the assignment.
