Position Overview
The Associate Resident Director (Associate RD) supervises the summer residential experience and staff for the Stanford Pre-Collegiate Studies (SPCS) programs and Stanford Online High School Summer @ Stanford (S@S) programs to assure a safe, enjoyable experience for all participants. Specifically, the Associate RD supervises the development and execution of program activities and ensures necessary program logistics are secured. The Associate RD collaborates with all residential staff and will directly supervise up to two Assistant Resident Directors (ARDs) at a time. The Associate RD will ensure the residential staff team manages program logistics, including but not limited to: setting up all programs and activities, securing supplies for scheduled activities and trips, daily mail runs, supply inventory and restocking, van and golf cart management, and the planning of arrival and departure day. This position serves as the back-up Resident Director, providing leadership and supervision to Assistant Resident Directors and their staffs.
The Associate RD position is closely equivalent to a college or university Senior Residence Hall Director or Area Coordinator. The Associate RD lives on campus and is a visible role model and community leader. Although their primary responsibility is ensuring that the residential experience runs smoothly from a programmatic and logistical perspective, the Associate RD is expected to serve on-call, support the ARDs with necessary tasks and projects, and be available to staff and participants to answer questions, resolve concerns, and address health, wellness, and discipline issues that arise.
The Associate RD will participate in approximately nine days of onboarding prior to the arrival of participants which include, in-person and online training and administrative work.
Position Responsibilities:
- Supervise Assistant Resident Directors assigned to the programs, ensuring completion of assigned duties; provide ongoing professional development and work closely with the Resident Director to improve training, mediate and resolve staff issues.
- Plan, coordinate, and execute logistics for all program-wide and class-specific activities and field trips, including set up and tear down; if applicable, prepare and distribute staff memos and schedules in advance of activities to ensure all staff understand their roles and responsibilities during field trips.
- Serve as Acting Resident Director of the programs in the Resident Director’s absence or day off; responsible for the safety and supervision of up to 520 minors living in residence across multiple programs (SHI, SUMaC, S@S, Stanford AI4ALL); resolve moderate to higher-level participant issues, including crises and emergencies, and ensure all concerns are promptly addressed; support staff and provide feedback during post-incident debrief.
- Serve in the on-call rotation, responding to calls and text messages promptly at any time during the on-call shift and addressing any incident or concern within fifteen minutes of notification.
- Manage parental communications in cases involving the dispensing of over-the-counter medications, participant injuries, incomplete homework assignments, check-out requests, and/or restorative conversations.
- Serve as a role model by demonstrating positive behavior and community presence, attending program events, engaging participants in conversations throughout the day, and building positive relationships with the residential staff and participants.
- Ensure that all programs and activities are accessible and contribute to participant’s sense of belonging and safety. Lead planning and implementation efforts and actively engage in programs to cultivate a sense of belonging and bring participants together.
- Lead participants in educational initiatives centered around topics such as individual development, wellness and community engagement; lead and participate in recreational and social activities.
- Be a good steward of program resources by ensuring that all supplies are properly stored and returned at the end of the program, and that the residence is consistently clean and well maintained.
- Execute the proper collection, organization, storage, and inventory of supplies, including redistributing materials and requesting new supplies as necessary; budget appropriately and use sound financial judgement when using the Purchasing Card.
- Prepare the residences and program materials before the program formally begins; ensure that all residences receive the necessary stock of educational materials, residential program supplies, and daily mail while programs are in session.
- Develop relationships and leading communication with campus partners, including but not limited to Dining Services, Stanford Transportation/Stanford Charters, Stanford Conference Services, the Library, and Stanford Recreation and Wellness, to support programmatic needs such as field trip sack lunch pick up, charter bus confirmations, and library access card pick up.
- Provide guidance and leadership for the implementation of major program events (i.e., Arrival Day, Commencement, Departure Day, etc.), leading the logistical preparation and execution of events.
Manage the SPCS-Residential and S@S email inbox and provide regular communication with parents and families as needed. - Transport participants and/or other staff to various locations within and outside of the Stanford University campus via program-rented automobile or golf cart; track and maintain all program vehicles during session.
- Oversee residential staffs’ planning, execution, and reflection on their programs for their floors or hall, providing constructive feedback as needed to ensure planned programs are fiscally responsible and contribute to a participant’s sense of belonging within the community.
- Confirm supplies and prepared and available daily to all Instructional staff; return and inventory class supplies daily as needed.
- Troubleshoot basic classroom tech issues and supporting hybrid classroom set-ups, collaborating with the OHS Tech team and University Classroom IT as needed.
- Ensure that participants and staff adhere to all applicable policies at all times, including the Administrative Guide Memo, program policies, the SPCS Code of Conduct and the Protection of Minors policy.
- Comply with the California Vehicle Code and Stanford University requirements when operating university-owned vehicles, including tracking the real-time usage of all program vans and golf carts.
- Attend and if applicable, lead, house meetings, staff meetings, and lunch meetings as scheduled by the Resident Director.
- Manage administrative tasks, including but not limited to: responding to emails and Pronto messages, approving and modifying staff schedules, maintaining rosters, auditing keys, developing check in and check out sheets, purchasing, and other program and event logistics.
To be successful in this position, you will bring:
- A Bachelor’s degree.
- At least one summer or year of experience in Residence Life at the high school or college level; at least two years preferred, of Resident Assistant experience, or other residential leadership experience.
- Creative, team-oriented, and positive attitude, including an enthusiasm for working with pre-college students.
- Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive tasks with multiple deadlines and frequent interruptions. Including serving on call and responding to crisis situations throughout the day and night.
- Ability to supervise others, delegate tasks, build teams, enforce policies, solve problems, make good decisions, and mediate conflict.
- Excellent organizational, logistical, interpersonal, and written and verbal communication skills.
- Ability to complete a project and direct others with little direct supervision.
- Experience with, and interest in, administrative responsibilities.
- The ability to occasionally climb (ladders, scaffolds, or other), twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, use a telephone, write by hand, lift/carry/push/pull objects that weigh up to 40 pounds; and rarely kneel/crawl, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.
- Must possess and maintain a valid U.S. driver’s license.
- Physical Requirements: Ability to drive day and night.
- Work Standards: When conducting University business, must comply with the California Vehicle Code and Stanford University driving requirements.
Additionally, you will preferably bring:
- Summer camp/program experience or experience working with students ages 12-17, preferably with Stanford Online High School, Stanford Pre-Collegiate Studies, or a similar program.
- Experience planning and coordinating logistics for events or activities.

Compensation
The Associate Resident Director position is a temporary, full-time, residential position with substantial on-call duties averaging 60 hours per week for approximately 9 weeks. The compensation package includes on-site housing, meals, and a total salary of $18,500.00. This position is exempt and is therefore not subject to the overtime provision of the Fair Labor Standards Act. The salary will be paid semi-monthly, via payroll and is subject to taxes. Stanford Pre-Collegiate Studies and Stanford Online High School provides an on-call cell phone when staff are on duty, and a $25/month cell phone stipend (pro-rated) which will be paid via Stanford payroll. Stanford does not reimburse cell phone costs or provide cell phones to staff for use during programs outside of on-call shifts.
