Assistant Resident Director for Operations

Position Overview

The Assistant Resident Director for Operations (ARD Operations) oversees the logistics and provides programmatic support for Stanford Pre-Collegiate Studies (SPCS) and Stanford Online High School (OHS) summer residential programs.

The ARD Operations will directly supervise two Operations Specialists. And, in collaboration with the Assistant Resident Director for Programs (ARD Programs), the ARD Operations is responsible for ensuring that all programs, activities, snack breaks, and scheduled trips have all of the necessary supplies, are set up and cleaned up properly, Additionally, this ARD Operations manages other program logistics, including but not limited to: daily mail runs, supply inventory and restocking, van and golf cart management, and the planning of arrival and departure day.

The ARD Operations lives on campus in program residence halls and  is  a visible role model and community leader. The ARD Operations  serves in an on-call rotation, supports their peer ARDs with necessary tasks and projects, and makes themselves available to participants to answer questions, resolve concerns, and address health, wellness, and discipline issues that arise.

The ARD Operations would benefit from having a one week in person onboarding plan in addition to approximately 5-10 hours of virtual asynchronous work. This plan would cover pre-program meetings, trainings, and necessary administrative work to be completed before the arrival of participants in residence.

Position Responsibilities:

  • Responsible for the safety and supervision of minors in residence; up to 105 within each session of the Summer Humanities Institute, up to 45 within the Stanford University Mathematics Camp, and up to 210 within Summer @ Stanford High School and Summer @ Stanford Middle School.
  • Directly supervising and managing the work of  Operations specialists assigned to the program and holding them accountable to complete assigned duties; working closely with the RD to mediate and resolve staff issues.
  • Preparing the residences and program materials before the program formally begins
  • Ensuring that all residences receive the necessary stock of educational materials, residential program supplies, and daily mail while programs are in session.
  • Developing relationships and leading communication with campus partners, including but not limited to Dining Services, Stanford Transportation/Stanford Charters, Stanford Facilities, the Library, and Stanford Recreation and Wellness, to support programmatic needs such as field trip sack lunch pick up, trash can pick up and drop off, charter bus confirmations, and library access card pick up.
  • Maintaining well-organized storage spaces and monitoring inventory levels in the residences and storage rooms, redistributing materials and requesting new supplies as necessary.
  • Serving in the on-call rotation, responding to calls and text messages promptly at any time during the shift and addressing any incident or concern within fifteen minutes of notification.
  • Maintaining a strong presence within the program, role modeling positive behavior, attending program events, and building relationships with the residential staff and participants.
  • Ensure that all programs and activities are accessible, inclusive, equitable, and contribute to participant’s sense of belonging and safety. Lead and actively engage in programs to cultivate a sense of belonging and bring participants together.
  • Transporting participants and/or other staff to various locations within and outside of the Stanford University campus via program-rented automobile or golf cart.
  • Being a good steward of program resources and executing the proper collection, organization, storage, and inventory of Stanford Pre-Collegiate Studies and Stanford Online High School supplies at the conclusion of the program.
  • Complying with the California Vehicle Code and Stanford University requirements when operating university-owned vehicles, including tracking the real-time usage of all program vans and golf carts.
  • Attending weekend field trips and excursions with participants to ensure their safety and well-being; ensuring activities are safe and accessible to all participants.
  • Providing guidance and leadership on scheduled arrival and departure days;  leading the logistical preparation and execution for each arrival and departure day.
  • Ensuring all supplies, especially house snacks, are well stocked and alerting the Resident Director when supplies are needed; understanding the needs for all activities, including set-up and teardown, and directing the Specialists to bring proper equipment
  • Confirming supplies are prepared and available to SHI faculty and GTAs and SUMaC instructors
  • Confirming all supplies are available each day for Summer @Stanford  mini classes and returning/inventorying class supplies daily as needed
  • Ensuring that participants and staff adhere to all applicable policies at all times, including the Administrative Guide Memo, program policies, the SPCS Code of Conduct, and the Protection of Minors policy.
  • Managing administrative tasks, including but not limited to: creating and modifying staff schedules, maintaining rosters, auditing keys, developing check in and check out sheets, purchasing, and event logistics.

To be successful in this position, you will bring:

  • A Bachelor’s degree
  • At least one summer or year of experience in Residence Life at the high school or college level (At least two years preferred, of Resident Assistant experience, or other residential leadership experience).
  • Creative and positive attitude, including an enthusiasm for working with pre-college students.
  • Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive tasks with multiple deadlines and frequent interruptions. Including serving on call and responding to crisis situations throughout the day and night.
  • Ability to supervise others, delegate tasks, build teams, enforce policies, solve problems, make good decisions, and mediate conflict.
  • Excellent organizational, logistical, interpersonal, and written and verbal communication skills.
  • Ability to complete a project with little direct supervision.
  • Experience with, and interest in, administrative responsibilities.
  • The ability to occasionally climb (ladders, scaffolds, or other), twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, use a telephone, write by hand, lift/carry/push/pull objects that weigh up to 20 pounds; and rarely kneel/crawl, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.
  • A valid U.S. driver’s license; and eligibility to drive program rented vans (must be at least 21 years old).

Additionally, you will preferably bring:

  • Summer camp/program experience or experience working with students ages 12-17, preferably with Stanford Online High School, Stanford Pre-Collegiate Studies, or a similar program.
  • Experience planning logistics for events or activities coordination.

Compensation

The compensation for the ARD Operations is $2,200.00 per week plus housing and meals, valued at approximately $827.05 per week, free of charge. Weekly pay is taxable income. This is a temporary, full-time, residential position with substantial on-call duties averaging 60 hours per week. This position is exempt and is therefore not subject to the overtime provision of the Fair Labor Standards Act.
